GDPR Privacy Notice

Data Protection Laws define Personal Data as information which directly or indirectly identifies an individual. Examples of Personal Data include name, address, membership number, National Insurance number, date of birth, photo, video or voice recording.

The Bagpipe Society collects and processes Personal Data belonging to Members for the purpose of the mailing of Chanter magazine, whether by email or post.

How Does The Organisation Protect Your Personal Data

In order to protect your privacy, The Bagpipe Society committee has reviewed Information Security and Personal Data Protection processes.

All membership data is collected and held by the membermojo system which is fully GDPR compliant. All data is held on servers and backups hosted in secure UK facilities.

Your Rights

Data Protection Laws, describe individuals who have provided their Personal Data to an organisation (either directly or indirectly) as “Data Subjects”. As a Data Subject, you have a number of rights with respect to how organisations process your Personal Data.

Right to be Informed

As a Data Subject, you have the right to be informed of the use that your Personal Data will be put to, along with details of the Data Controller and your rights.

Where you provide your Personal Data directly to The Bagpipe Society, these details will be used solely for Bagpipe Society mailings and occasional updates from the committee.

Right to Access

Data Subjects have the right to access and obtain a copy of your Personal Data held and processed by The Bagpipe Society, on request or by accessing your details on the Membermojo site at https://membermojo.co.uk/bagsoc

Right to Rectification

You have the right to request The Bagpipe Society to correct inaccurate or incomplete Personal Data.

Right to Erasure (to be Forgotten)

You have the right to request The Bagpipe Society to erase your Personal Data from its systems and records.

Right to Restrict Processing

Data Subjects have the right to request The Bagpipe Society to stop or restrict the processing of your Personal Data. This could be for example, if your Personal Data is no longer necessary for the purpose of processing.

Complaints

If you are unhappy with how your Personal Data is processed by The Bagpipe Society, you have the right to complain to the Membership Secretary or Society Chairman. If you remain unhappy, following The Bagpipe Society’s response to your complaint, you have the right to lodge a further complaint with the Supervisory Authority, The Information Commissioners Office (ICO).

Membership data for the Bagpipe Society members is obtained by members completing an application form using the Membermojo system, which is the data processor for the Bagpipe Society.

Members have the opportunity to remove themselves from the Membership List both at signup and at any point during membership. They can make this change themselves or request it be amended by contacting the membership secretary.

Members opt in to consent to their data being held by the Bagpipe Society solely for Bagpipe Society use and consent to their data being held for 24 months following membership expiry unless they contact the Bagpipe Society to request their personal data is erased.

Members who have read / write access to membership records are currently:

• Ian Clabburn (Chairman)
• Jane Moulder (Editor of Chanter Magazine)
• Joe Wass (Website manager and provider of integration between Membermojo and the member website)
• Michael Ross (Treasurer and membership secretary).

Committee members Robert Heath and Andy Letcher also have read only access to member details.

All membership data is collected and held by the ‘membermojo’ system which is fully GDPR compliant. All data is held on servers and backups hosted in secure UK facilities. Only committee members of the Bagpipe Society have access to membership information which is used solely for Bagpipe Society communication and Chanter magazine mailings. It will never be shared or sold with any third party.

Members have the option to remove themselves from the member list (which can be changed at any time by editing their member details) and should a member terminate their membership, personal details can be fully erased immediately should it be requested. Membership data is kept for 24 months unless a member requests deletion, to allow previous payment history to be recorded.

Individual members can request free of charge to see what data is held by the society (or can access this information themselves via the membermojo application).

Members under the age of 16 are requested to contact the membership secretary to obtain parental consent for the society to hold personal information.
